Administrative Assistant/Receptionist

Position Overview:

 We are seeking an organized and proactive Administrative Assistant/Receptionist to join our organization. The ideal candidate will work directly with our Administrative Manager and support our office staff and executive team. The Administrative Assistant/Receptionist will have the ability to plan and organize work, anticipate needs, ask for clarification when required, and react quickly to change.

To be successful in this position, the candidate will have strong communication, organizational, and analytical skills to gather, examine, and prepare information and interact with a variety of people, internally and externally. The candidate will also have excellent technological skills with the ability to learn new software and extensive experience with Microsoft Office programs such as Word and Excel.


  • Answer telephones, direct calls, take messages, and greet visitors

  • General administrative duties including filing, scanning, data entry, etc.

  • Organize and schedule appointments and meetings, as requested

  • Coordinate and plan events

  • Write and distribute internal communications to staff

  • Prepare executive summaries and feasibility studies

  • Manage site radios and company hardware and software

  • Make posts to social media

  • Order and maintain promotional products and staff apparel and safety wear

  • Monitor media and generate reports on issues and information relevant to our industry

  • Keep vehicle and equipment log up to date

  • Assist with IT inventory and management of hardware

  • Work on special projects as required

Qualifications and Competencies:

  • Sound practical knowledge of the rules, practices, and procedures of office and program administration

  • Advanced knowledge of Windows-based programs including Word and Excel

  • Strong critical thinking, problem-solving, and decision-making skills

  • Excellent verbal and written communication skills

  • Strong organizational skills with the ability to multi-task and process a large volume of work in a fast-paced environment with a high degree of accuracy while meeting prescribed deadlines

  • Ability to prioritize tasks in a changing work environment

  • Ability to type 50+ wpm

  • Excellent reading speed and comprehension

  • Ability and interest in taking initiative, being flexible, adapting to change, and contributing to a team environment

  • Experience in SAGE 300 CRE is an asset

  • Some knowledge of accounting is an asset

  • Preference will be given to candidates with either a post secondary education in office administration, an administrative background, or other related work experience

 Remuneration for this position is to be commensurate with experience.
